A German premium events agency built each event's information by hand, with comments scattered across four places. We're building it its own brain: it combines three time-and-budget tracking tools with email, plus agents specialized by event.

The problem
Four or five hours pulling information together into five slides, only for the client to reply "number 3, thanks" five minutes later. Comments scattered across Frame.io, email, WhatsApp and a spreadsheet. And two people on maternity leave, leaving the team a full person short.
What we built
Its own brain: it combines three time-and-budget tracking tools with email to generate each event's documents, with agents specialized by event that the team can ask and that improve with use.
How we did it
We interviewed the head of each area and found that a single event's information lived in four places: Frame.io, email, WhatsApp and a spreadsheet.
We started with the pain that annoyed them most, formatting the moderation cards, so the team saw something working within days.
We connected their three time-and-budget tracking tools to email, to generate each event's documents without anyone assembling them by hand.
We built agents specialised by event, which the team can ask questions and which keep improving with use.
The result
- Absorbing a full person's leave of absence without losing margin
- The client itself calculated 560 hours of admin per half-year and account, which at their internal rate is around €56,000
